Equipment Check Out Program

John McGee -  mcgeejh@uncw.edu

The AV/Media Services requires Administrators at the level of Department Chair and above to make all requests for all Equipment Check Outs.   Please use the WEB Link below to view A/V Media Special Events Calendar.

http://appserv02.uncw.edu/dasapps/avcalendar/

A/V Media Equipment Check Out Program Calendar - will allow Administrators to make their requests, view requests, receive email confirming A/V Media's commitment to your Special Event.  Later, the Administrator can view the confirmed request (color change on Text in Calendar after email acceptance) and a referral number is given to keep track of event and/or to co-ordinate other events).

Priorities for Acceptance of all Equipment Check Out Program Requests are determined by three factors:

(University function);  Source of requests

(Prior commitment);  Date request was received

(Resource availability);  Request workday or time deadline of request

Equipment Check-Out Available to Faculty, Staff, and Students:

The AV/Media Services unit will respond to requests on a sign in basis and will limit support to requests filed by administrators at the level of department chair and above.

This unit is a centralized equipment supply and support.  To ensure that these services are not duplicating existing resources, the unit will handle only select and unique equipment needs rather than provide general services.  This unit will assist in installation, technical repair, and make loans of equipment in emergency situations.

Stock Inventory consists of numerous audio amplification systems, overhead and large screen projectors, mobile large screens, television monitors, video production cameras, VCR's, microphone, light trees, etc. Priorities for distribution are determined by three factors:

      Source of requests (University function);

First priority shall be given to those requests for resources to support the Academic Affairs Division for instructional purposes.

Second priority goes to university work, other than instructional work, which is conducted for academic purpose. Such as work done under research grants.

Third priority shall be reserved for university related work which is not academic oriented. This generally includes work for student organizations, sports activities, public service, and facility support for university guests.

Date request was recieved (Prior commitment)

Once a request is officially received and the requestor has received confirmation from AV/Media services, no other work will be accepted that may cause a conflict prohibiting AV/Media services from completion of its commitment.

Request workday or time deadline of request (Resource availability)

Work will generally be scheduled based upon requisition deadline for completion. In cases where there is immediate request compliance, and AV/Media Services cannot guarantee service, the requestor may be asked to contract outside vendors necessary to support desired deadline.
