Name, Gender, Social Security Number, Address & Telephone Changes/Updates

Name Changes

Current and former students need to bring the documents listed below to the Office of the Registrar (James Hall) and complete the Change of Name Form

Documents Needed:
driver's license, or
social security card, or
divorce decree, or
voter registration card, or
passport, or
other legal documentation verifying the name change
and photo ID (required)

Students unable to visit the campus:  We will accept a change whereby the documentation listed above is visually verified by a notary.  Please use this Name or Social Security Number Change Notarization FormPDF. You must bring at least two acceptable forms of ID, one of which must be government issued photo ID to show the Notary Public. Sign the Change of Name form in the presence of the Notary. Once the Notary has notarized the Name or Social Security Number Change Notarization Form, both forms must be mailed to the UNCW Office of the Registrar.

Preferred First Name

Any student at the University of North Carolina Wilmington can indicate their preferred first name to the university community regardless of whether or not they have legally changed their name. This option applies to first name only and only if your preferred first name differs from your legal first name. There is no need to submit a change if it mirrors your current legal first name.

Choosing a preferred first name in our student information system changes your name as it appears in many internal locations such as the online campus directory, SeaNet, mySeaport, email alias, grade reports, class rosters, advisee lists, etc.

This option became available in January 2015, and usage of the preferred first name will continue to expand. The following represents the progress of these changes.

  • Class Rosters

Future Preferred First Name Use Planned:

  • Housing Room Assignments
  • Campus Reporting (a few remaining to be converted)
  • Auxiliary Services
  • & many other ancillary systems

Places Where Legal First Name is Used:

  • Student Accounts
  • Financial Aid
  • Responses to enrollment inquiries, such as verification requests (unless you have chosen FERPA exclusion)
  • Official Transcripts
  • Payroll

Please note: Preferred first name is used solely for UNCW's internal systems; external systems will continue to use your legal first name.

How to Indicate Your Preferred First Name?

To indicate your preferred first name, login to SeaNet, by selecting Secure Login for Faculty, Staff and Students. At the main menu, select Personal Information, then Enter Preferred Name. Please remember to hit Submit to ensure that your preferred first name has been saved.

For questions or if you would like to see a particular internal application recognize your new preferred first name, please contact the Office of the Registrar.

Social Security Number

Whether you're correcting or adding the social security number in your record, you will need to complete the Submission or Correction of Social Security Number form. This form must be completed in person, witnessed by an Office of the Registrar staff member. Additionally, you will need to show the original signed social security card along with a government-issued photo ID.

Students unable to visit the campus:  We will accept a change whereby the documentation listed above is visually verified by a notary.  Please use this Name or Social Security Number Change Notarization FormPDF. Once the Notary has notarized the Name or Social Security Number Change Notarization Form, both forms must be mailed to the UNCW Office of the Registrar.

Gender Change

A student's official academic record reflects the gender the student identified him- or herself as when he or she applied for admission to the University.  Students who subsequently wish to change the gender designation in their official academic record must provide the Office of the Registrar with a certified copy of a court order showing their change of gender, or other state or federal identification, such as a revised driver's license, reflecting their new gender. "Official academic record" in this section is defined as UNCW’s student information system (BANNER).

For students who are in the process of transitioning and state or federal documentation is not yet available, a change to “Not Available” can be requested until such time as the transition is final and additional documentation can be presented.

To request that your academic record reflect a gender change, submit a written request along with supporting documentation, to the Office of the Registrar.

Once the Office of the Registrar records a gender change in a student's official academic record, the official academic record will identify only the new gender information.  Note: UNCW transcripts and diplomas do not specifically reference gender.
