Purpose

Establishes university policy and procedures governing the use and rental of the Campus Commons. Scope The Campus Commons includes the body of water, amphitheater, tiered ground, sidewalks, bridges, and grassed areas surrounded by Randall Library, Morton Hall, Social and Behavioral Science Building, University Union, and King Hall.   These policies and procedures apply to all university groups, university-sponsored groups, and non-university groups requesting the use of the Campus Commons.

Policy
    1.    General Statement.
The accomplishment of the educational mission of the university shall have first priority in all decisions concerning the use of the Campus Commons. Use of the Campus Commons shall not be authorized where such use may disturb the conduct of classes or other scheduled university activities.

In making its facilities available for use under this policy to persons or groups other than university administrative groups, the university assumes no obligation or responsibility for the activities of the person or group. 

Further, the university reminds all users to be aware of, and comply with, applicable laws including, but not limited to, those concerning safety, use of alcoholic beverages, defamation, and obscenity.
 

    2.  Definitions of Groups That May Use the Campus Commons.
    3.    Scheduling of the Campus Commons.
       
    Requests for use of the Campus Commons must be made at least three working days prior to a proposed event or recreational use requiring ground penetration and at least seven working days prior to an event or recreational use requiring utilities, related services, or trade personnel.

    The University Union is responsible for scheduling the use of the Campus Commons. Prior to scheduling university-sponsored or external events, authorization must be obtained from the Facility Use Manager located in the University Union.
     

    4.    Conditions for Use of the Campus Commons.
All users of the Campus Commons are responsible for abiding by the university's facility use policy in addition to the following conditions specific to the use of the Campus Commons:
    5.  Requests for Technical Equipment and Services.
All requests for technical equipment and services for scheduled events and recreational use at the Campus Commons must be coordinated with the University Union. University Union scheduling personnel will review equipment and other needs with event organizers.

Rental, Reservation, and Processing Fees. Charge for Services.
FEES AND ASSESSMENTS
COST TO THE USER
Reservation and Processing Fee
  • The reservation fee is refundable: 
  • If the event is canceled in writing 72 hours prior to the scheduled beginning of the event. 
  • After the event is concluded, if the Campus Commons and equipment are not damaged by event organizers or participants during the reservation period. 

  •  
  • Reservation period begins with the initial set-up of  equipment and ends when the final piece of equipment is removed from the site or when the actual event is concluded, whichever is later. This time period is determined by the event organizer and posted on the Facilities Mgt. System when the event is confirmed. 
  • The condition of the area prior to and following the reservation period will be determined by the university. 
  • Any damage in excess of the reservation fee is the financial responsibility of the event organizer. 
  • $125 reservation fee + $25 processing fee
    (Required to confirm a reservation.)
    Rental Fee Flat cost based on the length of the event
    and time period covered by the reservation.
    $ 50.00 / half-day     (up to 4 hours)
    $100.00 / all day       (over 4 hours)
    Services, Equipment, and Staff, including:
    • Production Service (provided by University Union)

    • Cost when extra assistance is needed to assist with staging  an event. Includes costs such as lighting and amplification.
    • Utilities and Related Services
    • Other Equipment or Services
  • Extended Hour Fees for University Union

  • (Apply outside the normal operating hours of the University Union)
    Cost is determined on a case-by-case basis.
    All fees are based on the services or equipment provided.
     
     
     
     
     
     

    $ 20.00 per hour - university groups

    $ 40.00 per hour - university-sponsored groups and external groups

    Clean-up after event Clean-up, if needed, will be billed for actual costs incurred.
    Security
    Cost for security, if needed.
    Need is determined by University Police.
    Cost is based on University Police fee schedule.
    In the event of inclement weather (precipitation), the event can be rescheduled without recurring deposits or fees.
