Effective July 1999, the policy number changed from  AUX 2.30 to FAC 2.30.

A new Facilities Use and Rental section of the Administrative Policies and Procedures Manual has been  created to organize all policies related to the use and rental of university facilities into one easy-to-find section. 

Key revisions effective May 26, 1999,  include the addition of the Brunson House rental property.



Purpose
Explains university policies and procedures for the rental of university-owned properties.
Scope
Applies to all university departments and activities.

Rental properties covered by this policy include the following:

  • Padrick House
  • Wise House Bedroom
  • Brunson House
  • Policy
    1.    General Policy.
    2.     Damages to University Property.
    The sponsoring university department or activity will be held financially responsible for any damages to university property and/or furnishings caused by guests or renters.
    3.     Damages to Personal Property.
    The university is NOT responsible for any damages to personal property. Any personal property left will be turned in to the Campus Services Office.
    4.     Pets.
    These properties are rental property and are considered part of the UNCW campus; therefore, pets are NOT allowed under any circumstances.
    5.     Smoking.
    In keeping with campus policy, smoking IS NOT allowed in these properties.
    6.     Rental Rates and Other Charges.
    Rental charges are not payable in advance. All charges will be billed to the sponsoring university department or activity within ten days of the last day of the rental period via a UNCW Interdepartmental Invoice, unless otherwise agreed upon in advance with the Director of Campus Services. Long-distance charges, if any, will be billed to the sponsoring department or activity at a later date, according to the telephone-billing schedule.

    FAC 2.30 - University Rental Properties

    Procedure Supersedes:   July 27, 1994

    1.     Requests for Reservations.
  • Contact the Campus Services Office (962-7351) at least two weeks in advance of the desired reservation date. Reservations will be taken on a first come, first served basis.
  • The Campus Services Office will forward a reservation contract to the requesting university department or activity.
  • The requesting university official must sign the contract to confirm the reservation and to authorize billing of rental and other charges. Return appropriate copies of the contract (as indicated) to Campus Services.
  • 2.     Issuance and Return of Keys.
  • Between 8 a.m. and 5 p.m. on the last working day before the reservation is scheduled to begin, the reserving university official must sign out keys at the Campus Services Office
  • By 12 noon of check-out day, return the keys to the Campus Services Office.
  • 3.     Requests for Maintenance and Other Needs.
  • Between 8 a.m. and 5 p.m. on Monday through Friday, contact the Campus Services Office (962-7351) to request any maintenance needs or discuss any concerns.
  • For emergency maintenance requests during evening hours and weekends, call University Police at 962-3184.
  • 4.     Rental and Other Charges.
  • Campus Services will bill rental and other charges to the sponsoring university department or activity within ten days of the last day of the rental period via a UNCW Interdepartmental Invoice, unless otherwise agreed upon in advance with the Director of Campus Services.

    DESCRIPTION Two bedrooms, kitchen, study, living room, dining room, one bath, pantry with washer/dryer.

    Any special services desired (which are not included in services provided by the university) will be the responsibility of the occupant.
    TELEPHONE SERVICE Local phone service is provided at no additional expense. Long-distance calls will be billed to the sponsoring university dept./activity via an interdepartmental invoice.
    CABLE SERVICE Basic cable service is provided at no extra charge.
    TRASH PICKUP The city trash removal company will pick up trash on Monday and Thursday.
    Occupant is responsible for placing trash in outdoor containers provided.
    RESERVATION PERIOD Minimum of 3 nights and no more than 3 consecutive months for the same guest without prior approval from Assoc. VCBA. No minimum required. Available for short-term rental only.
