Agency Airfare

UNCW has contracts with four travel agencies to make airfare arrangements that are directly billed to the university. This is the only way to have the airfare prepaid for an employee, student group, non-employee ( prospective candidate), and student employees. The three travel agencies are Maupin Travel, Travel Consultants, and Travel Divas.

If the airfare is for an Employee, Student Employee or Student Group you will need to have a travel authorization created and approved in E-Travel. Enter the airfare for the Employee or Student Employee under Pre-Paid Agency Airfare. If this is for a Student Group then you would only enter the Faculty/Staff member's airfare under PrePaid Airfare Agency and the rest of the group you would send an email to the Travel Office with the student names, travel dates, travel authorization number, dollar amount, fund and a copy of the itinerary. For Non-Employees you will need to complete a paper travel authorization form and walk the form and a copy of the itinerary over to the Travel Office. Please hand this authorization to one of the Travel Staff, please do not put it in the office mail box. For more detail please see our procedures for the type of traveler you are working with.

If personal time is attached to the trip you will need to provide a comparison quote roundtrip from ILM to destination from the same airfare provider on the business dates. Please email comparison to Sandy Gladden (gladdens@uncw.edu) in the Travel Office. You will need to include a note in the notes section of the travel explaining any personal time. If the cost of the airfare for the business dates is less than the cost of the personal airfare, traveler must write a personal check to UNC Wilmington for the difference and submit to the Travel Office.

If not flying from ILM, traveler must provide justification and comparison quote for round-trip out of ILM. Please email comparison to Sandy Gladden (gladdens@uncw.edu) in the Travel Office. Traveler will not be reimbursed mileage or extra per diems that exceed the amount of the round-trip out of ILM. A note must be put in the E-Travel notes section of the travel explaining the reason for not flying out of Wilmington.

Travel Consultants

Established in 1982, Travel Consultants has continued to cultivate long associations with our clients providing all aspects of travel, including group and incentive travel.  Travel Consultants is a HUB recognized corporation, certified by the State of North Carolina.  All agents are experienced in both domestic and international travel with average experience of 29 years.  UNC-W will enjoy customized service on a daily basis.  The agency offers personal attention and $100,000 of flight insurance on each ticket purchased. Travel Consultants also has language interpreter service in place and offers assistance with passports/visas and lost luggage.
