UNCW has contracts with three travel agencies to make airfare arrangements that are directly billed to the university. This is the only way to have the airfare prepaid for an employee, student group, non-employee ( prospective candidate), and student employees. The three travel agencies are Maupin Travel, Fellowship Travel International (for Study Abroad trips ONLY), and Pan Am.
If the airfare is for an Employee, Student Employee or Student Group you will need to have a travel authorization created and approved in E-Travel. Enter the airfare for the Employee or Student Employee under Pre-Paid Agency Airfare. If this is for a Student Group then you would only enter the Faculty/Staff member's airfare under PrePaid Airfare Agency and the rest of the group you would send an email to the Travel Office with the student names, travel dates, travel authorization number, dollar amount, fund and a copy of the itinerary. For Non-Employees you will need to complete a paper travel authorization form and walk the form and a copy of the itinerary over to the Travel Office. Please hand this authorization to one of the Travel Staff, please do not put it in the office mail box. For more detail please see our procedures for the type of traveler you are working with.
